Grandi Stazioni

Here's how they optimized the management of their digital assets.

Grandi Stazioni Rail SpA is a company contracted by the Italian State Railways to upgrade, improve, and manage the fourteen most important railway stations in Italy:
Milan Centrale, Turin Porta Nuova, Genoa Brignole and Genoa Piazza Principe, Venice Mestre and Venice Santa Lucia, Verona Porta Nuova, Bologna Centrale, Florence SM Novella, Rome Termini, Rome Tiburtina, Naples Centrale, Bari Centrale, and Palermo Centrale.

The strategic importance of Grandi Stazioni Rail is further underscored by:

 over 700 million passengers pass through its stations each year;

 1,500,000 square meters of real estate it owns;

 numerous partners who have collaborated with them on project implementation; and

 substantial investments enalng numerous improvements in public areas.

Where they started:

Grandi Stazioni Rail manages a large daily archive of photos and technical documentation for its properties. Over time, digital asset management (DAM) became increasingly strategic and essential to ensure proper database access for internal operators and, when needed, external users.

Over time, their requirements expanded from simply storing information (which was already possible with their previously-owned DAM system) to include access, search levels, and access permission management.

The Portfolio DAM solution, recommended to Grandi Stazioni Rail by BG & Partner, immediately met their needs. It is also well-suited for numerous future developments and integrations.

Their Goals:

 Optimizing catalog management based on different image resolution levels.

 Establishing a hierarchy of access rights for different user types.

 Finding a flexible and implementable solution for the future to manage diverse assets.

 Establishing an automated user creation process.

 Enabling faster and more accurate image searches.

 Simplifying administration.

The Solution:

Grandi Stazioni Rail has been working with Portfolio DAM since November 2018, particularly in the infrastructure development and IT service department.

The number of digital assets managed with Portfolio currently stands at around 1,500, but this figure is expected to grow. Grandi Stazioni Rail uses NetPublish, API, and Media Engine as add-on modules.

PICO implemented the integration and provides significant added value. PICO is a value-added distributor for Portfolio DAM and a specialized reseller for BG & Partner. This allows for the automatic generation of three different catalogs containing the same assets in varying resolutions for different uses.

Thanks to this integration, Grandi Stazioni Rail can automatically catalog uploaded documents in three different resolutions: low, medium, and original. Furthermore, the integration with Active Directory has enabled the customer to grant each new user immediate access (with access levels) to Grandi Stazioni's IT environment.

The Result:

Flexibility and reliability were key factors in Grandi Stazioni Rail's decision to choose Portfolio DAM. The consulting services provided by BG & Partner and PICO were also crucial. This collaboration provided Grandi Stazioni Rail with the solution they were truly seeking. It laid the foundation for future developments in various areas of interest to the client (e.g., cartography and GIS).

With Portfolio, the company can now access and manage its digital knowledge more easily. The program is simple and quick to use. The automation of user creation processes and the export of files at various resolutions result in significant time savings.

"We have used other DAM systems before, but Portfolio is superior in terms of asset management. It also has more features and is more versatile. Its functionality perfectly suits our needs." – Marco Bonelli
