The Walk Wheel Cycle Trust (previously known as Sustrans) is a British non-profit organization dedicated to making life easier for pedestrians and cyclists.

Headquartered in Bristol, UK, WWCT has been operating in the UK for 40 years. The charity currently has 550 employees and a network of 3,500 volunteers and supporters. Walk Wheel Cycle Trust aims to:

Create environments that encourage walking and cycling

Provide support to people to enable them to walk, cycle, or travel using a wheelchair or electric scooter

Work with policymakers to implement policies that encourage walking and cycling.

Where they started:

Sixteen people work in-house in the Marketing/Branding team at WWCT; they collaborate with communications professionals and external partners to raise awareness of the organization's activities and mission.

Walk Wheel Cycle Trust wanted to ensure that all communications staff could access all of the organization's files, including event photos. With the organization having accumulated over 60,000 images and visual files, this task seemed daunting.

Their Objectives:

To have a centralized space to consolidate all digital resources

To allow all users, both in the UK and Ireland, to find and download resources

To guarantee compliance with the General Data Protection Regulation (GDPR) regarding the use of photographs

The General Data Protection Regulation (GDPR), in effect throughout Europe and the UK, imposes certain legal restrictions on the use of photographs of public events and the storage of personal data. To comply with the regulations, this NGO can now track each image across all marketing and communication channels. Walk Wheel Cycle Trust employees can easily locate a file, see where it has been published, and even remove it if its use is no longer permitted.

The photos of public events often pose difficulties.  Kate Strange, marketing director in charge of the brand’s image, explains “It happens that a person can authorize use of their image, then changes their mind after seeing their photo on our website. We then need to find the original file to delete the image, verify that it is not being used anywhere else, and prohibit its use. Portfolio has become our invaluable ally, allowing us to quickly find files and delete resources we no longer need.”

Results:

The Marketing/Branding team is fully leveraging the benefits of Portfolio DAM. Furthermore, Walk Wheel Cycle Trust now allows members of other teams to also access the resource search and download features, simplifying project management.
